Fitness programs for Ottawa employers

Bodyinmotionlife builds on-site and studio-based programs for offices of about 20 to 300 people — public-sector teams, tech firms, and the professional shops that sit along the Somerset and downtown core. The work is classes, workshops and referrals, scoped with HR, delivered by the same coaching team that runs the studio.

Who this is for

Most of the workplaces we visit have a floor or a large meeting room, a lunch hour that actually exists some days, and a benefits conversation already in motion. Twenty people is enough to fill a 12-session class block without it feeling theatrical. Three hundred is the point where we split into waves or add a second weekly slot rather than running a single crowded room.

Public-sector teams often need a program that can survive a hybrid week and a security desk. Tech teams often need something that can live beside a stand-up and a release week. We write the timetable with those constraints in the first conversation, then we keep attendance reporting at the group level so a manager is not looking at a named list.

On-site class block

Twelve sessions in a room you already have. A coach arrives with a mat stack and a written template; no gym equipment is required for this format. Sessions are 45 minutes, usually at lunch or immediately after core hours. The block is $2,400 and is the usual first buy while HR decides whether to continue into a quarter.

Quarterly program

From $4,800 for three months. The mix is scoped after a call: a weekly on-site class, a workshop, written materials for the intranet, and an optional studio membership rate for people who want a Somerset Street West session. Reporting stays at the group level — attendance bands, not named league tables.

Workplace

Lunch-and-learn workshop

Sixty to seventy-five minutes on a named topic: how to start a first gym block, what a walking meeting actually does, or how to set a desk for a long sitting day. Delivered on site for $650. The session is a talk with a short floor piece if the room allows it. Handouts are yours to keep on the intranet.

Workplace

Desk ergonomics walk-through

$890 per floor. A coach walks the floor with HR’s leave, notes common setup issues, and leaves a short report. Individual desk notes stay with the person; they are not copied to a manager. This is a walk-through, not a clinical ergonomics assessment, and we will say so in the report.

Subsidised studio memberships

A corporate rate of $199 per employee per month for unlimited classes at the Somerset studio, billed to the employer or split as you prefer. Employees still complete the assessment if they want 1-to-1 work; the class rate does not skip the screen. Unused months are a matter between HR and the invoice, not a door policy.

Recovery

Return-to-work conditioning referrals

When an occupational health team or a physician has cleared someone for gym-based conditioning, we take the referral into a post-rehab block at the studio. Reporting back to the workplace is only what the employee has agreed in writing. The clinical relationship stays with the practitioner; we provide the supervised floor.

How a program starts

One

Scope call

Thirty to forty minutes with HR or the wellness lead. We map headcount, hybrid days, the room, and whether you want a short block or a quarter. You leave with a one-page outline and a price that matches a line on the rate card, or a written variant if the site needs one.

Two

Site check

We look at the room (40 m² is the minimum for a class block), floor surface, and a place to store mats. No equipment is required for the class-block format. If the room is glass-fronted onto a busy corridor, we discuss a timetable that avoids the most public hour if people have said they want that.

Three

First four sessions

The first month is a quiet start: introductions, a short screen for anyone who wants 1-to-1 later, and a class that does not assume a training history. After session four we send HR the group attendance note and confirm whether the remaining eight sessions still fit the calendar.

Four

Review

At the end of a block or a quarter we sit down with the original scope. Some workplaces stop there; some add a workshop or a studio rate. Nothing renews without a written go-ahead.

What HR receives

A timetable, a short description of each session for the intranet, and a group attendance note — for example, that a Tuesday slot ran at two-thirds of the booked list. We do not send named attendance to a manager. If a benefits team needs confirmation that a person attended a referred return-to-work block, that confirmation is issued only with the person’s written say-so.

Materials from a workshop are yours to keep. They are not a licence to re-run the session with internal staff under the Bodyinmotionlife name. If you want a second delivery, we book it as another $650 workshop or fold it into the quarter.

Room and privacy

The class-block format needs a room of about 40 m², a floor that can take mats, and a door that closes. We bring mats. Changing is not required; people arrive in clothes they can move in. If lockers or a quiet corner exist, we will use them. We do not need a gym.

Participation is voluntary. Sign-up lists live with Bodyinmotionlife, not on a shared drive. We do not photograph a workplace class for our journal without a separate, written yes from everyone in the frame. Health information that comes in through a referral stays in the member file at the studio and follows the Privacy Policy.
