Refund & cancellation policy

Assessment ($140)

If you cancel the 90-minute movement assessment at least 24 hours before the visit, we refund 100% of the $140. Inside 24 hours, or on a no-show, the fee is kept. After the assessment has been delivered the fee is not refunded. If you buy any package within 14 days of the visit, the $140 is credited in full toward that package. After 14 days the credit expires and the assessment stands as a completed service.

Session packages (10-pack $880, 24-pack $1,992, semi-private $580)

Within 30 days of purchase we refund the value of unused sessions. Used sessions are counted at the full drop-in rate — $95 for 1-to-1, $62 for semi-private — and a $40 administration fee is deducted. After 30 days there is no cash refund. Remaining sessions may be transferred once to another person who completes an assessment, or the pack may be frozen once per year for up to 30 days as described on the rates page.

A 10-pack is valid for four months from purchase, a 24-pack for nine months, unless a freeze is in place. Expired unused sessions have no residual cash value. A session cancelled at least 12 hours ahead is not counted as used; inside 12 hours it is used.

Class passes and monthly plans ($196 / $239 / $255)

Monthly class plans ($196 for eight classes, $239 unlimited) are cancelled in writing at least 14 days before the next charge. We do not refund unused weeks or unused classes inside a billed month. The 10-class pass ($255, valid three months) can be refunded in the first 14 days in proportion to unused classes, with used classes counted at $28. After 14 days the pass runs until it expires or is used. Guest drop-ins of $28 are a completed service and are not refunded after the class starts.

Remote programming and nutrition

Motion Remote ($139 per month) and Remote + Video Review ($219 per month) cancel in writing 14 days before the next billing date. The current month is not pro-rated. Nutrition coaching at $185 per month follows the same 14-day notice. The 12-week nutrition block ($495) is refundable in full if you cancel within 7 days of purchase and before the first coaching call. After the first call, and only within the first 21 days, unused weeks are refunded minus an $80 administration fee. After 21 days the block is non-refundable and runs to the written wrap-up.

Specialist blocks

Post-Rehab Conditioning (12 sessions, $1,140) follows the session-package rule: within 30 days, unused sessions are refunded, used sessions are counted at $95, and a $40 administration fee applies. Written clearance remains required to continue. Return-to-Run (10 weeks, $980) may be refunded within 14 days of the start date for unused weeks, minus a $40 administration fee; after 14 days the block is transferable once or it runs to the end date, with outdoor sessions substituted indoors when the park is closed.

Workplace and consulting

A workplace class block ($2,400 for 12 on-site sessions) cancelled 14 or more days before the first session is refunded 50%. After the first session, unused sessions are credited at $160 each if the cancellation is in writing; delivered sessions are completed services. Quarterly workplace programs (from $4,800) require 14 days’ notice before the next quarter; the current quarter is not pro-rated. A lunch-and-learn ($650) is fully refundable 7 or more days before the date, 50% inside 7 days, and not refunded after delivery.

A gym programming audit ($1,850) is fully refundable if cancelled before the kickoff call, and 50% after kickoff and before delivery of the report. After delivery the audit is a completed service. A programming retainer ($2,600 per month) stops on 30 days’ written notice. Desk walk-throughs ($890 per floor) follow the workshop rule: 7 days for a full refund, 50% inside 7 days, none after the walk.

How a refund is paid

Refunds go back by the original method — card or Interac e-Transfer — within 10 business days of approval. We do not refund in cash at the desk. Credits toward another Bodyinmotionlife service are available instead of cash where this policy allows a refund. This policy was published in 2026 and sits beside the rate card and the terms of use.
